01Who we are#

In short: TechXlogi is responsible for your personal data under this policy.

TechXlogi ("we", "us") is a software engineering and digital growth company, registered at [Registered office address] (company number [Company registration number]). For the personal data described here we are the controller: we decide how and why it is processed.

Questions about privacy? Email techxlogi@gmail.com and a member of our team will respond.

02What this policy covers#

In short: Our website, enquiries and marketing. Client project data is governed by our client contracts.

This policy applies to personal data we process when you browse techxlogi.com, submit a project brief or contact form, email, call or message us on WhatsApp, or receive our communications.

When we build or run software for a client, any personal data inside that client’s systems is processed on the client’s instructions under a separate agreement and data processing addendum. In that case the client is the controller and we act as their processor.

03Personal data we collect#

In short: What you send us, a little technical data, and campaign data only with your consent.

Information you give us

  • Contact details: name, work email, company and, if you choose, phone or WhatsApp number.
  • Project information: the services you need, project stage, budget range, timeline, project description and any links you share.
  • Preferences: whether you requested an NDA and whether you agreed to receive our insights by email.
  • Anything else you include in emails or calls with us.

Information collected automatically

  • Technical data in server and security logs, such as IP address, browser type, device and the pages requested.
  • Settings stored on your device, such as your light or dark theme and an unfinished project brief, so the site works as you expect. See our Cookie Policy.
  • With your consent only: how you first arrived on our site (referring website, campaign tags and Google Ads click ID), so we can measure which marketing works.

Information from other sources

To prepare for a first call we may look at publicly available business information, such as your company website or professional profile.

Please do not send special category data (for example health information) or confidential third-party data through our website forms. If a project involves such data we will agree a secure process with you first.

04How we use your data and why#

In short: To answer you, deliver our services, keep the site secure and, with consent, improve our marketing.

Data protection law requires a legal basis for each use of personal data. Here is what we do and on what basis:

Purposes and legal bases
PurposeData usedLegal basis
Reply to your enquiry and prepare a proposalContact details, project informationSteps taken at your request before a contract; legitimate interests in responding to business enquiries
Deliver services you engage us forContact and project informationPerformance of a contract

Keep our website secure and prevent spam or abuseTechnical and log dataLegitimate interests in protecting our systems and users
Meet legal, tax and accounting dutiesRecords of our dealings with youLegal obligation

We do not make decisions that have legal or similarly significant effects on you based solely on automated processing. The "suggested first step" shown in our project planner is a simple rule based on the stage you choose, shown only to help you.

05Who we share it with#

In short: Only trusted providers that help us run our business, under contract. We never sell personal data.

  • Service providers that host our website and database, deliver our emails, store files, schedule calls and, only with your consent, provide analytics or advertising measurement. They may only use your data to provide their service to us. If you message us on WhatsApp, WhatsApp (Meta) processes that conversation under its own terms.
  • Professional advisers such as lawyers, accountants and auditors, where necessary.
  • Authorities, when the law requires it or to protect our rights, users or the public.
  • A buyer or successor, if our business is reorganised, merged or sold, under equivalent protections.

We do not sell personal data, and we do not share it for cross-context behavioural advertising unless you allow marketing cookies. A current list of our service providers is available on request from techxlogi@gmail.com.

06International transfers#

In short: If data leaves your country, we use recognised safeguards.

Our team and providers may be located outside your country, including outside the UK and European Economic Area. When we transfer personal data internationally we rely on adequacy decisions or on safeguards such as the European Commission’s Standard Contractual Clauses and the UK International Data Transfer Addendum, together with additional measures where needed.

07How long we keep it#

In short: Only as long as needed, then we delete or anonymise it.

Retention periods
DataHow long
Enquiries that do not become a projectUp to 24 months after our last contact
Client records and contractsFor the engagement, then up to 6 years for legal and tax purposes
Email subscriptionUntil you unsubscribe
Security and server logsUp to 30 days, unless needed to investigate an incident
Your cookie choices6 months, after which we ask again

08How we protect it#

In short: Encryption, access controls and secure engineering practices.

We use technical and organisational measures appropriate to the risk, including encryption in transit (HTTPS), access restricted to staff who need it, strong authentication, monitoring, and secure development practices. No method of transmission or storage is completely secure, but we work hard to protect your data and will notify you and the relevant authorities of a breach where the law requires.

09Your rights#

In short: Access, correct, delete, object and more. Email techxlogi@gmail.com to use them.

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you and receive a copy.
  • Correct inaccurate or incomplete data.
  • Delete your data, or restrict how we use it.
  • Object to processing based on legitimate interests, and to direct marketing at any time.
  • Receive your data in a portable format.
  • Withdraw consent at any time, without affecting earlier processing.

To exercise any right, email techxlogi@gmail.com. We may need to verify your identity, and we reply within one month (45 days for requests under US state laws). There is no charge in most cases.

UK and EEA residents can also complain to their data protection authority, such as the UK Information Commissioner’s Office or the authority in their EU country. We would appreciate the chance to resolve your concern first.

US residents (including California, Colorado, Connecticut, Virginia and other states with privacy laws) have rights to know, access, correct and delete personal data, and to opt out of its sale, sharing for targeted advertising, or profiling. We do not sell personal data. We treat a Global Privacy Control signal from your browser as a request to opt out of marketing cookies, and we will not discriminate against you for exercising your rights.

10Job applicants#

In short: We use your application only to assess it, a person reviews every one, and we delete it within 6 months unless you ask us to keep it.

When you apply for a role or send an open application, we collect your name, contact details, location, CV, any links you share (such as LinkedIn or a portfolio) and anything you tell us in your message. During interviews we also keep notes about your skills and experience.

  • Why: to assess your application, arrange interviews, communicate with you and, if we make an offer, prepare your contract.
  • Legal basis: steps taken at your request before entering a contract, and our legitimate interests in recruiting. If you ask us to keep your application for future roles, we rely on your consent.
  • Who sees it: only the people involved in hiring for the role. CVs are stored privately and are never published.
  • No automated decisions: a person reviews every application. We do not use automated tools to reject, rank or score candidates.
  • We never ask about your current or past salary.

We keep applications for up to 6 months after a role closes, so we can answer questions about our decision, and then delete them. If you choose "keep my application on file", we keep it for 12 months and you can ask us to delete it sooner at any time. If you join us, your application becomes part of your employee record.

11Cookies and similar technologies#

In short: Essential storage keeps the site working; anything for marketing waits for your consent.

We use a small number of cookies and browser storage items. Essential ones remember your settings and keep forms working. Marketing measurement only runs if you allow it. Our Cookie Policy lists each one, and you can change your choices at any time from Cookie settings in the website footer.

12Children#

In short: Our website is for businesses, not children.

Our website and services are intended for businesses and are not directed at children under 16. We do not knowingly collect their personal data. If you believe a child has sent us personal data, contact techxlogi@gmail.com and we will delete it.

13Changes to this policy#

In short: We will update the date above and tell you about significant changes.

We review this policy regularly and update it when our practices or the law change. The "Last updated" date shows the latest version. If a change significantly affects you, we will let you know before it takes effect.
